How much does Sarge-P cost?
Organisations choose a billing tier at signup. All tiers include a £40.00 monthly minimum.
Current per-head rates (on your busiest day of the month):
- No contract: £1.50 per head on your busiest day of the month
- 2-year contract: £1.25 per head on your busiest day of the month
- 5-year contract: £1.00 per head on your busiest day of the month

Is there a free trial?
You won’t be charged while you’re exploring Sarge-P. Billing setup only applies once you have 3+ staff and 1+ event on the platform.
Separately, the Sarge team can issue a 28-day trial unlock code for full platform access before billing setup is required (one trial per organisation). This is not automatic for every signup — contact us if you need a code.
Lowest tariff for life — register before 1 October 2026. Sign up before 1 October 2026 and lock in our lowest per-head rate for the life of your account — whichever contract length you choose. After that date, standard tier pricing applies.
Are there setup fees?
No. There is no setup fee or one-off onboarding charge. Registration and getting your venue set up on the platform are free until billing setup is required after the usage gate.
When do I pay?
Billing setup is only required once your organisation passes the usage gate (staff and event thresholds on the platform). Until then you can explore without entering card details at signup.
Once billing applies, we charge monthly in arrears for the previous calendar month, based on peak attended headcount on your busiest day that month (subject to your tier's monthly minimum). On the first day of each following month (02:00 UTC), we create and automatically charge your saved payment method — not on a separate 14-day invoice terms cycle. There is no proration within a month: your busiest day that month sets the charge for the full calendar month.
Cancellation & contracts
Can I cancel at any time?
It depends on the contract tier you selected at signup. The "No contract" tier has no fixed lock-in period. The 2-year and 5-year tiers commit you to those contract lengths for the agreed per-head rate — see tier labels on pricing.
No contract: if you cancel, you continue to be billed and retain access until the end of the current billing month. Your data is deleted automatically after your final monthly bill is collected (typically on the 1st of the following month).
2-year or 5-year contract: you cannot cancel early without buying out the remaining term at £40 per remaining month. Once that buyout is paid, cancellation and data deletion happen immediately. See our Terms of Service.
What's the notice period?
No contract: notice runs until the end of the calendar month in which you cancel — you keep access and billing for that month, then data is deleted after your final bill.
2-year or 5-year contract: there is no free early exit. You must pay £40 per remaining month of your term to cancel; after payment, cancellation is immediate.
What happens to my data if I cancel?
Your organisation remains the data controller for staff and operational records you entered. Sarge-P processes that data on your behalf while your account is active.
Sarge-P does not offer a single bulk export of your entire organisation dataset when you leave. You may request permanent deletion in venue Settings (Danger zone) or contact us. While your account is active, CSV downloads (payroll, org reports, compliance roster, staff directory, and similar) export subsets of operational data for day-to-day use — together they can cover much of what you entered, but there is no one-click "export everything" and no export is provided on termination.

How Sarge-P works for different users
Venues & organisations — how do I plan and staff an event?
After registration and venue setup, create events in your dashboard, build your staff roster, and assign people to areas and shifts. Area managers can run day-of operations from their manager portal (today's events, shift lists, QR scanning for check-in).
New venue admins are guided through an activation wizard the first time they sign in. Ongoing staffing is managed from Events, Staff, and Today in the venue dashboard.
Venues — how does Sarge-P help fill staffing gaps?
When in-house staff cannot cover a role or area, venue admins can raise agency gap requests from the event staffing board. You allocate gaps to linked agency partners; they staff the request from their own roster. The board shows filled, requested, and unavailable slots so you can see coverage at a glance.
Agency partners — how do we get notified of gaps?
When a venue allocates a staffing gap to your agency, you receive email notification with a link into your agency portal. Open the allocation or event staffing board to see what was requested — role, area, event, and quantities.
Agency partners — how do we confirm or decline a request?
In the agency portal, use Staffing (allocations) and the event calendar to review open requests. Assign your agency staff to slots from your roster; the venue sees updates on their board as you fill positions. If you cannot supply staff, work through the request in the portal or contact the venue directly — exact decline workflows may vary by allocation type.
Staff & workers — how do I accept a shift?
Venue-employed staff and agency workers each have their own mobile-friendly portal (staff or agency-staff). When you are invited to a shift, open it from Shifts or your calendar and tap Accept. You can decline with a reason, cancel an accepted shift (subject to timing rules), or respond to a "Still coming?" reminder if you cannot make it.
Staff are usually invited by email link from their venue or agency — you do not need a separate public signup if they have already added you.
Staff & workers — how does check-in work on the day?
Your shift detail page shows a personal check-in QR code. When you arrive, show it to your area manager (or nominated check-in operator) who scans it from their manager device. The same code is used when you leave. Some venues also use hub or security sign-in stages depending on their settings.
Where enabled, the app may request a one-off location reading at sign-in or when you reopen the app while signed in — this is not continuous GPS tracking. Venue maps and uniform reference images are available under Info and on the shift page.
